For couples who’ve booked many of their vendors but want expert guidance and support in the final months, plus complete wedding-day management.

What’s Included:

Everything in the Month of Day of Coordinator package

Consultations: Ongoing planning meetings every 4–6 weeks (or as needed), including a venue walkthrough when local. Unlimited email support, with phone/Zoom calls available by appointment.

Timeline Creation: A detailed wedding day timeline covering ceremony through reception, distributed to all vendors and refined as needed.

Vendor Communication: Coordination with vendors throughout the process, including confirming final details about two weeks before the wedding.

Design & Layout Assistance: Guidance on floor plans, décor, rentals, and logistics, with finalized layouts provided to vendors for easy execution.

Vendor Recommendations & Contract Review: Referrals to trusted vendors and review of contracts to ensure clarity on deliverables. (Heartbeat Events does not provide legal advice.)

Rehearsal Coordination: Leadership of your ceremony rehearsal (typically Wednesday or Thursday before your wedding), including lineup, entrances, timing, and ceremony cues with Officiant and DJ.

Wedding Day Management: Full-day onsite coordination (first to arrive, last to leave). We’ll direct the processional, assist with décor setup, oversee transitions and room flips, manage announcements, cue events, organize bridal party and guest entrances, set up small details (guest book, place cards, favors, etc.), greet vendors, serve as the main point of contact, assist the couple and guests, retain the marriage license for the Officiant, and conduct a final venue walkthrough with cleanup guidance. (Client must provide a cleanup team; planner is not responsible for full event teardown.)
