• Lead Planner & Assistant Coordinator: Lead Planner & Assistant on site from start to finish

Meetings: Planning begins 9–12 months out, with regular check-ins and unlimited communication along the way. Access to professional planning tools to keep everything organized.
• Budget Planning & Management: Creation of a customized budget, allocation guidance, payment tracking, and reminders.
• Venue & Vendor Management:Recommendations, communication, and ongoing coordination with your entire vendor team.
• Contract Review & Guidance:Careful review of vendor contracts to ensure expectations are clear. (Heartbeat Events does not provide legal advice.)
• Event Styling & Design:Custom design boards, décor suggestions, floor plan layouts, and styling assistance.
• RSVP Tracking & Guest Logistics:Wedding website setup, guest list input, RSVP monitoring, transportation and accommodation guidance.
• Timeline & Walkthroughs:Creation of a master wedding timeline, vendor distribution, and final walkthrough with venue and vendors.
• Rehearsal Coordination:Leadership of your ceremony rehearsal (Typically Wednesday or Thursday before the wedding), including lineup, cues, and timing with Officiant and DJ.
• Wedding Day Management:All-day onsite coordination (first to arrive, last to leave). Vendor oversight, timeline execution, décor assistance, transition management, event cueing, guest and wedding party support, license retention, and final venue walkthrough with cleanup guidance.
• Post-Wedding Wrap-Up:Follow-up with vendors, assistance with gratuities or returned items, and ensuring all final details are taken care of.

Optional add-ons include setup and clean-up staff or mockup tablescape designs.
